School ka fee counter band hone wala hai.
Parents ja chuke hain. Receipts issue ho chuki hain. Cash drawer mein cash hai aur UPI payments bhi aaye hain.
Ab accountant ke paas ek important question hota hai:
“Aaj system mein jitni collection dikh rahi hai, kya utna paisa actually receive hua hai?”
Isi verification ko Daily Collection Reconciliation kehte hain.
Agar school har din sirf 5 minute is process ko follow kare, toh cash mismatch, wrong entries aur payment-related confusion ko kaafi had tak reduce kiya ja sakta hai.
Daily Reconciliation Kyun Zaroori Hai?
Ek normal school fee counter par din bhar multiple transactions hote hain:
Cash payments
UPI payments
Partial fee payments
Late fee collection
Discounts ya concessions
Cancelled receipts
Wrong entries aur corrections
Agar reconciliation daily nahi hoti, toh ₹500 ka chhota mismatch bhi kuch hafton baad trace karna difficult ho sakta hai.
Simple rule rakhein:
Aaj ki collection, aaj hi reconcile karein.
5-Minute Evening Routine
Fee counter close karne se pehle accountant ye simple routine follow kar sakta hai.
Minute 1 — System Mein Today's Collection Dekhein
Sabse pehle software ya fee register mein aaj ki total collection check karein.
Example:
Payment Mode & Collection
Cash
₹42,500
UPI
₹31,200
Total
₹73,700
Ab accountant ko ₹73,700 ko actual collections ke saath verify karna hai.
Minute 2 — Cash Count Karein
Cash drawer mein available notes ko physically count karein.
Suppose:
System Cash Collection: ₹42,500
Physical Cash: ₹42,500
Perfect.
Lekin agar physical cash ₹42,000 hai, toh:
Mismatch = ₹500
Ab difference ko same day investigate karna easy hai.
Check karein:
Kya kisi payment ki entry galat hui?
Kya cash payment ko UPI mark kar diya?
Kya wrong amount enter hua?
Kya koi receipt cancel hui?
Kya cash drawer se koi authorised expense hua?
Difference ko simply adjust karne ke bajaye uska reason identify karna better accounting practice hai.
Minute 3 — UPI Collection Verify Karein
UPI transactions ke liye system collection ko actual payment records se match karein.
Example:
System UPI Collection: ₹31,200
Actual UPI Received: ₹31,200
Matched. ✓
Sirf parent ke payment screenshot par depend na karein.
Whenever possible, actual transaction status verify karein.
Screenshot payment ka proof ho sakta hai, settlement ka confirmation nahi.
Minute 4 — Cancelled & Corrected Receipts Check Karein
Din bhar mein mistakes ho sakti hain.
For example:
Parent ne ₹3,500 pay kiya, lekin accountant ne accidentally ₹35,000 enter kar diya.
Entry correct karne ke liye receipt cancel ki gayi aur new receipt ₹3,500 ki generate hui.
Day-end par accountant ko cancelled receipts quickly review karni chahiye.
Check:
Receipt number
Student name
Original amount
Cancellation reason
Corrected receipt
Cancelled transactions ka proper record maintain karna future audit aur verification mein bahut useful hota hai.
Minute 5 — Final Closing Verify Karein
Ab final reconciliation karein.
Example
System Collection
Cash: ₹42,500
UPI: ₹31,200
Total: ₹73,700
Actual Collection
Physical Cash: ₹42,500
Verified UPI: ₹31,200
Total: ₹73,700
Difference: ₹0 ✓
Day successfully closed.
Agar Collection Match Nahi Kare Toh?
Mismatch ko next day ke liye pending mat chhodiye.
Same day check karein.
For example:
System Collection: ₹73,700
Actual Collection: ₹73,200
Difference: ₹500
Ab transaction list ko payment mode aur receipt number ke according check karein.
Most differences usually simple operational errors se aate hain — wrong amount, wrong payment mode, duplicate entry ya cancelled transaction.
Jitni jaldi mismatch identify hoga, utna hi easy usse trace karna hoga.
Ek Important Rule: Cash Aur UPI Ko Mix Mat Karein
Suppose parent ne ₹5,000 UPI se pay kiya.
Lekin accountant ne system mein payment mode Cash select kar diya.
Total collection still ₹5,000 hi dikhegi.
Lekin day-end reconciliation mein:
Cash +₹5,000
UPI -₹5,000
ka mismatch aa jayega.
Isliye payment receive karte waqt correct payment mode select karna important hai.
Daily Closing Report Mein Kya Hona Chahiye?
Accountant ko ek simple closing summary milni chahiye:
Today's Collection
Total Collection: ₹73,700
Cash: ₹42,500
UPI: ₹31,200
Transactions
Receipts Issued: 28
Cancelled Receipts: 1
Closing
Physical Cash: ₹42,500
Verified UPI: ₹31,200
Difference: ₹0
Report simple hona chahiye.
Accountant ko day close karne ke liye complicated accounting reports samajhne ki zarurat nahi honi chahiye.
Principal Ya School Owner Ko Kya Dekhna Chahiye?
Owner ko har individual receipt verify karne ki zarurat nahi hai.
Unke liye 3 numbers kaafi useful hain:
Aaj kitni fee collect hui?
Cash aur UPI mein kitni collection hui?
Koi mismatch hai ya nahi?
Detailed transaction history accountant ke paas available reh sakti hai whenever verification is required.
5 Minutes Today Can Save Hours Later
Daily reconciliation ek complicated accounting exercise nahi honi chahiye.
Ek simple routine banaiye:
System Total → Cash Count → UPI Verify → Cancelled Receipts Check → Difference ₹0 → Close Day
Sirf 5 minute ka ye habit school ki fee collection ko significantly more organised bana sakta hai.
